Privacy Policy
Effective Date: July 6, 2026
BlacktopIQ, LLC ("BlacktopIQ," "we," "us," or "our") provides a field service management platform for asphalt and paving contractors, accessible via web and mobile applications (the "Service"). This Privacy Policy explains how we collect, use, disclose, and protect information in connection with the Service.
This Policy applies to two categories of individuals: (1) our direct customers — paving and asphalt contracting companies and their authorized staff who subscribe to and use the Service ("Customers"), and (2) individuals whose information is submitted into the Service by a Customer, such as homeowners or property owners who receive estimates, invoices, or communications through the platform ("End Customers"). Please see Section 8 for information specific to End Customers.
1. Information We Collect
1.1 Information Customers Provide Directly
- Account information: name, email address, phone number, company name, and password.
- Company profile data: business address, logo, service rates, and team member information you add.
- Payment information: processed directly by Stripe, our payment processor. We do not store full credit card numbers on our servers.
- Content you upload or enter: estimates, invoices, customer records, job schedules, photos, notes, and communications logged within the Service.
- Support communications: messages sent through our in-app chat, email, or other support channels.
1.2 Information Collected Automatically
- Usage data: pages and features accessed, actions taken within the app, timestamps, and device/browser type, collected via Google Analytics.
- Log data: IP address, device identifiers, operating system, and crash/error reports.
- Mobile app data: if you use our iOS or Android app (built with Capacitor), we may collect device-level information necessary for the app to function, such as device type and OS version.
1.3 Information About End Customers
Customers may enter information about their own clients into the Service — for example, a homeowner's name, address, phone number, and email address — in order to generate estimates, invoices, and job records. BlacktopIQ processes this information on behalf of the Customer as described in Section 8.
2. How We Use Information
We use the information we collect to:
- Provide, operate, and maintain the Service, including multi-tenant account functionality.
- Process subscription payments and manage billing through Stripe.
- Generate and deliver estimates, invoices, and payment reminders via email (through Resend) and, where applicable, text-based notifications.
- Provide customer support, including live chat (through Tawk.to) and email support at help@blacktopiq.com.
- Monitor, analyze, and improve the Service, including through usage analytics.
- Detect, prevent, and address technical issues, fraud, or misuse.
- Communicate with Customers about their account, updates to the Service, or changes to this Policy.
We do not sell personal information, and we do not use Customer or End Customer data to train third-party AI models.
3. How We Share Information
We share information only as necessary to operate the Service:
- Service providers: Supabase (database and file storage), Vercel (hosting), Stripe (payment processing), Resend (transactional email), Tawk.to (live chat support), and Google Analytics (usage analytics).
- Within a Customer's account: information entered by a Customer's staff is visible to other authorized users within that same company account, according to the permissions assigned by the Customer's administrator.
- Legal requirements: we may disclose information if required by law, subpoena, or other legal process, or to protect the rights, property, or safety of BlacktopIQ, our Customers, or others.
- Business transfers: if BlacktopIQ is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this Policy or a materially similar one.
We do not share information across tenant accounts. BlacktopIQ's platform is architected as a multi-tenant system in which each Customer's data is logically isolated from other Customers.
4. Data Storage and Security
Data is stored using Supabase infrastructure located in the United States. We use industry-standard measures to protect information, including encrypted connections (HTTPS/TLS), tenant-isolated database access controls, and restricted internal access to production data.
No method of transmission or storage is completely secure. While we work to protect your information, we cannot guarantee absolute security.
5. Data Retention
We retain Customer account information for as long as the account remains active. If a Customer cancels their subscription, we retain data for a limited period to allow for reactivation or export, after which it is deleted or anonymized, except where retention is required for legal, accounting, or fraud-prevention purposes.
6. Your Choices and Rights
- Access and correction: Customers can access and update most account and company information directly within the Service.
- Account deletion: Customers may request deletion of their account and associated data by contacting help@blacktopiq.com.
- Marketing communications: transactional emails are necessary to the Service and cannot be opted out of while your account is active. Any marketing emails will include an unsubscribe option.
- California residents: if you are a California resident, you may have additional rights under the CCPA, including the right to request disclosure of, or deletion of, personal information we hold about you. Contact help@blacktopiq.com.
7. Children's Privacy
The Service is intended for business use by adults and is not directed to individuals under 18. We do not knowingly collect personal information from children.
8. End Customer Data — Our Role as a Processor
Where a Customer enters information about their own clients (End Customers) into the Service, BlacktopIQ acts as a service provider/data processor on behalf of that Customer, who acts as the data controller. This means:
- The Customer is responsible for ensuring it has a lawful basis to collect and enter End Customer information into the Service, and for responding to End Customer requests regarding their data.
- BlacktopIQ processes End Customer data only as necessary to provide the Service and as instructed by the Customer.
- End Customers seeking to access, correct, or delete their information should contact the contracting company directly.
9. Third-Party Services
The Service integrates with third-party providers (Stripe, Supabase, Resend, Tawk.to, Google Analytics, Vercel) that have their own privacy policies governing their handling of data. We encourage you to review those policies.
10. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify Customers via email or an in-app notice. The "Effective Date" at the top of this Policy indicates when it was last revised.
